Position:

Reporting to the Retail Manager, the Operations Manager is responsible for the overall management of the store’s operations, leading to an optimum client service. The Operations Manager provides recommendations and solutions to efficiently run the business, optimizes the overall retail store operations and performance, implement best practices, and enforces policies, procedures, and operational directives.

Job responsibilities:

Responsibilities (include but are not limited to the following):

Store Facility & Maintenance

  • Maintain store premises, ensuring cleanliness, repair, and timely replacement of damaged fixtures or furniture.
  • Oversee lighting, electrical systems, and store equipment functionality.
  • Ensure all back-of-house areas are organized per company standards
  • Act as key liaison with vendors and contractors to ensure timely and quality completion of store works.

Operational Policies & Procedures

  • Ensure compliance with all company operational policies and procedures.
  • Operate and train staff on POS system for stock transfers, payments, client database, and reporting.
  • Monitor and ensure adherence to back-office protocols and daily store operations.

Financial Controls

  • Monitor and manage store operating expenses, ensuring accurate recording and cost control.
  • Oversee proper handling of cash, credit card, and other financial transactions.
  • Manage petty cash in alignment with company policy.
  • Manage Vendor onboarding and creation of Purchase orders

Inventory Management & Stock Control

  • Drive inventory accuracy and meet shrinkage targets.
  • Oversee stocktakes, cycle counts, audits, and ensure completion per corporate schedule.
  • Manage damages, stock reservations, transfers, and end-of-season rebalancing.
  • Implement and monitor inventory control processes including reservations and transfers

Loss Prevention & Security

  • Partner with Internal Control to manage physical security and risk mitigation.
  • Ensure compliance with audit recommendations and Loss Prevention protocols.
  • Supervise third-party security services, including scheduling and performance.
  • Witness and document stock destruction when required.

Equipment & System Management

  • Maintain all store systems including IT, POS, phones, alteration machines, music systems, and ticket machines.
  • Ensure timely procurement and inventory of packaging, CRM materials, stationery, and uniforms.
  • Maintain After-Sales Service repair records and follow-ups; support retail team training where needed.

Shipping, Receiving & Logistics

  • Oversee all shipment handling, incoming and outgoing stock, and inter-store transfers.
  • Maintain accuracy and timeliness of shipping records and ensure customer service standards are met.
  • Ensure availability of necessary shipping and receiving supplies.

Retail Performance Support

  • Supervise operations across both stores ensuring top-tier retail standards such as stock accuracy and shrink control
  • Supervise operational performance across both stores inclusive of inventory flows and accuracy, team operational productivity, store organization through coaching and partnership with Retail Manager
  • Analyze and monitor individual store stock productivity, driving optimal operations inclusive of scheduling, timely deliveries, organization of teams to deliver exceptional client experience FOH & BOH with strong partnership across departments and store teams.
  • Partner with the Retail Manager to implement innovative action plans that drive growth in Philippines while optimizing operational costs and mitigating risks.

Collateral, Packaging & Uniforms

  • Manage front-of-house operational tools such as carriers, packaging, and uniforms.
  • Ensure visual and operational readiness of the store aligns with brand standards.

Profile:

  • Degree holder in business or related discipline
  • Minimum 5 years of high-volume retail experience, luxury experience preferred
  • Minimum of 3 years of experience in store operations
  • Ability to manage schedules and deadlines
  • Strong organizational and time management skills; able to prioritize
  • Ability to use POS system and inventory management function
  • Strong drive for results; goal oriented, pro active and willing to think “outside the box”
  • Excellent interpersonal & communication skills: the ability to communicate effectively both verbally and in writing
  • Ability to work independently and collaboratively within the team
  • Proficient in MS Office; especially Excel and Power Point
